Updating the gal
When changes occur within the main Global Address Book (GAL) on the Office 365, computers running Outlook 20/2016 may not automatically receive the updates.
If this is happening, then you may notice missing, non-existent and/or incorrect entries.
Step 3: The new version of the GAL will now be downloaded.
A status window will open to indicate that the download is in progress and will close automatically when the download is complete.
In fact, Outlook cached mode will continue to download the offline address book every 24 hours regardless of whether the option is enabled.
Note: To locate this option, follow these steps: On the Tools menu, point to Send/Receive, point to Send/Receive Settings, and then click Define Send/Receive Groups. When you click to select the Download offline address book check box and then click Address Book Settings, the Offline Address Book dialog box appears.
In this dialog box, you can specify either No Details or Full Details.
These settings affect the offline address book download.

In the Information to download section, select Full Details and in the Address Book section, choose \Global Address List. **NOTE** Please read this section carefully, or your update will not work!!

Outlook 2011 does not use Exchange Cached mode and directly connects to the Global Address Book (GAL) via LDAP connection.
This can cause the “Updating Address Book” status appearing for a long time.
